Account workspace

Availability: development preview. The portal opens account sign-in; /preview holds separate sample data. New editing controls and generated-letter downloads still need their full Dev workflow checks.

Open the portal to sign in, or go directly to /workspace. Enter your existing username or email and password. Enter the tenant name your administrator supplied, or leave it blank for a host account. If your account uses an outside sign-in service or multi-factor authentication, use the existing app.

Choose an organization from the list. Only organizations your account can access appear.

  • Letter Templates: view and download existing templates.
  • Files: view and download existing files. Choose Details to see row counts and the last processed time. With edit access, you can rename or delete a file. Active jobs, schemas and references can block deletion.
  • Mark for reprocessing: make a source CSV eligible for another run when publishing is enabled. This can create another set of letters; it does not resend an existing output.
  • Client detail: view request counts and move through organizations you can access.
  • Settings: view publishing controls. With edit access, you can pause new automatic jobs and change how often the system checks for files. Pausing does not stop running jobs.
  • Signature profiles and Content profiles: view saved profiles. With edit access, you can add, edit and delete them. A profile used by a product or rule cannot be deleted.
  • Workflow Rules: review and test saved expressions. With edit access, add or edit a rule, move it within its type, or delete it after confirmation. A completed CSV schema supplies the allowed field names. Rule changes affect future runs; testing an expression does not start a job.
  • Thank-You Letters (administrator Jobs): view existing publishing jobs and their output status. Choose Generated letters to see grouped PDFs and individual letters.

Lists use pages of up to 50 records. Use Next page and Previous page to navigate. A file that is missing or exceeds the download limit shows an error instead of a download.

Use Switch organization to leave the current organization. Use Open existing app for PDF uploads, approval, delivery, and changes not listed below.

Sessions last 15 minutes. Reloading the page requires sign-in again. Sign out clears this tab and asks the server to revoke your portal sessions. If the server is unavailable, the page explains that it could not confirm revocation. A denied or expired session never falls back to sample records.

Download generated letters

Open Generated letters from Thank-You Letters or Jobs. Use Show to choose a date range. Select a letter count to see individual letters, or Proof details to read dates, page counts and status.

With review access, Download PDF saves the stored proof. Output CSV saves its source rows. Downloads do not approve or send anything. If a file changed, is missing or is too large, refresh and try again, or ask your administrator. Choose View all jobs to return to job history.

Choose CSV fields

Availability: these controls await Dev workflow acceptance.

In Files, open CSV schema, then View fields for a completed CSV. With edit access, choose Set as Template to use its fields in your rules. This replaces the previous CSV template. If rules need missing fields, the screen lists those rules. Fix them or choose a CSV that has those fields. If the file or schema changed, close and reopen the controls before trying again. See Upload a Word template below for DOCX files. PDF uploads still use the existing app.

Upload a CSV

Availability: these controls await Dev release acceptance.

In Files, choose Upload File, then Browse files. Select a CSV, check its Name, and choose Upload File again. A successful upload appears in Files with its row count. You need edit access.

Use UTF-8 or UTF-16 text, up to 32 MiB. The first row must contain unique, nonempty column names. Quoted commas and line breaks are allowed. If upload fails, fix the reported issue and try again. If the connection drops, check Files before trying again. Cancel stops the request.

When publishing is not paused, the file can start processing automatically. Uploading does not select its fields as the CSV template; use CSV schema for that. See Upload a Word template below for DOCX files. PDF uploads still use the existing app.

Inventory

Availability: these controls await Dev release acceptance.

Open Inventory to see stock linked to the selected customer's packages. Show Archived includes stock linked to older packages. Total comes from recorded batches, restocks and adjustments. It does not mean letters were mailed.

Host staff with product edit access can open Stock Items. Choose New Stock Item or Edit, enter Name and Description, then Save. This catalogue is shared: edits affect every customer that uses the item. Delete needs confirmation and cannot remove an item with package or inventory history. If a record changed, reload it before trying again.

Batch history shows dates, package use, stock changes and running totals. Download CSV saves the same history, including your archived selection. With inventory edit access, choose Restock, enter the date and quantities received, then Save. If the reply fails, retry with the same values or close the form and check history first.

Delete on a batch removes it from totals and keeps its history. Batches tied to an output cannot be deleted. New production batches, adjustments and alerts remain separate work.

Preview rules

Availability: these controls await Dev release acceptance.

In Workflow Rules, use Test rule to test a saved rule. Test all rules shows the action plan for one row of text values.

For a file, choose a Data CSV and select Preview Data Results. Choose Template CSV to use the active schema sample. Preview Summary shows the counts; Download detailed results saves a CSV with each row's rule choices. Use a sample up to 1 MiB and 1,000 rows. Preview does not send email or start a job. If the file changed, reload before trying again. A matched rule does not confirm that its files and delivery settings are ready to publish.

Update Password

Availability: this form awaits Dev release acceptance.

Choose Update Password in the account controls. Enter your Current Password, then fill in New Password and Confirm New Password. Choose Save and sign in again with the new password. You do not need to choose an organization.

Use 8–128 characters with a lowercase letter, uppercase letter and number. Allowed symbols are !@#$%^&*(). Do not use spaces. If the connection drops, try signing in with the new password before trying the change again.

Saving signs you out of this portal. Sessions in the previous app may stay active until they expire. Ask an administrator if you have lost your password.

Upload a Word template

In Letter Templates, choose Upload Template, select a DOCX and save it. Use a file of 16 MiB or less. Binary .doc files, macros, embedded objects and linked images or templates are not supported. Open Details to see the first page, or use Download to get the original file. Uploading does not start publishing. If a reply is lost, check the template list before trying again.

This flow is implemented locally; Dev acceptance is still pending.

Record production and adjust stock

The new batch and adjustment forms await their Dev release check.

In Inventory → Batch history, choose New batch. Enter the number produced for each package and any stock destroyed. Add the dates you know. Used shows stock needed for those packages; Total shows the result after this entry. Saving records inventory only. It does not print or send the letters.

In Restock, use Adjustment to fix a count. Positive numbers add stock; negative numbers remove stock. Keep a lost-reply retry unchanged, or close the form and check Batch history before starting another entry.

Create or rename a folder

These folder actions await their Dev release check.

Open Client detail for the parent organization. Create folder adds a child folder. Enter its Folder Name, then save. People with access to the parent keep access to the new folder.

Use Edit folder to change the selected folder's name. Its records and place in the tree stay the same. If another edit changed it, reload before saving. Only accounts with folder-management permission see these actions. Creating a new root client, moving folders and deleting folders are not available here.

Prepare letters

Local acceptance; Dev availability is pending.

Set up a matching rule with a template and package first. Email-only packages need an email address in each row.

Open Jobs or Thank-You Letters, choose a Data CSV, then choose Prepare letters. This creates proofs; it does not send letters. A paused account keeps the job waiting.

Progress refreshes while the job runs. Choose Generated letters to review its output. If a request fails, check Jobs first. Retry the same selection to recover an accepted request. If a job fails, check any saved outputs before preparing another run.

View package contents

Packages Overview passes local checks; Dev availability is pending.

In Inventory, choose Packages Overview. Each package shows its description, stock items and Quantity Required. Use the page buttons to see more packages. This view does not change stock or delivery settings.

Reports & Insights

Availability: Performance passes local checks; Dev acceptance is pending.

Open Reports & Insights, choose From and To, then select Apply. The period uses Client Date. You need permission to view Performance for that organization.

Days to Email, Days to Print, and Days to Mail show recorded package quantities by weekday count. Weekends do not count; holidays count like other weekdays. Not recorded means a date was not entered or the channel may not apply. Before client date means the dates need review.

Total Sent counts saved package units. These dates do not prove delivery or mailing. The separate missing Client Date count covers all saved history, not just the selected period. Use the batch table to check the dates and quantities.

Select and sort Performance batches

Availability: selection and sorting pass local checks; Dev acceptance is pending.

Select a weekday group to see its batches. The other groups show Selected counts for those same batches while keeping the full period totals visible. Select the group again or Show all batches to clear it.

Select Client Date, Email Date, Print Date, Mail Date, or Total Sent to sort the table. Select the same heading again to reverse it. Unrecorded dates stay last. Changing the sort or group starts at the first page. Apply clears the group selection when you choose a period.
