Reports and stock alerts

Availability: the new portal has a Performance report with local acceptance. Stock alert setup has connected controls with local acceptance; hosted checks remain open. Donation and cost reports have connected controls with local desktop/phone checks; Dev acceptance is pending. Use released tools for live work.

Performance

See Reports & Insights for dates, weekday groups, selection and sorting. The report counts recorded package units. Total Sent is not proof that letters arrived.

Donation and cost reports

These reports use imported records. Run Date and Gift Date answer different questions. Choose the date basis and period before comparing totals. Donation revenue is money given to the nonprofit, not a charge from ThankTank. Print and postage costs are not invoices.

Open Donation and cost reports. You need report-read access to the selected organization.

  1. Choose Date Basis: Run Date or Gift Date.
  2. Choose Period and Report. Donation size, workflow and template reports show separate categories.
  3. Use Data for a table or Chart for bars. Chart value switches between revenue, transactions, printing and postage.
  4. Use the page buttons for more dates. Download CSV includes all rows in the selected report, not just the current page. It exports only the report already loaded, not all history or raw donor records.

Amounts use US dollars. Missing dates show zero; zero can also mean that no imported data is linked. Totals cover the selected period. If a report exceeds its row limit, choose a shorter period. If access changes or a read fails, use Try again or Refresh report. Old totals are hidden while a new selection loads.

Hidden imported rows do not appear in customer reports. Only authorized staff can change their visibility or the link between an organization and imported data. Ask an administrator about a missing or incorrect period; do not import the same records again to fix a display problem.

Stock email alerts

An alert list has To, Cc and Bcc recipients. At least one address is required. Saving that list does not send a test email or change when the worker checks stock. Sent history is separate from current settings and stays available after a setting is removed.

Open Email Distribution List in your workspace. You need stock alert read access. Adding lists needs create access; editing and deleting need update access.

  1. Choose Add distribution list, or Edit list for an existing list.
  2. Enter plain addresses in Email Address TO, CC or BCC. Separate addresses with new lines, commas or semicolons. Each field allows up to 20 addresses.
  3. Choose Save. To remove a saved list, choose Delete list and confirm.

If a save fails, your edits stay in the form. If another person changed the list, cancel and refresh lists before editing again. If the result is unknown, check saved lists before trying again to avoid adding a duplicate.

Inventory Alerts shows sent history, including the recipients recorded at that time. Dates use UTC. Use its page buttons or Refresh history to see other records. A sent record does not prove that mail reached an inbox. Stock counts and alerts do not prove that a delivery happened or a bill is due.

Metric assignments for host staff

These controls have local desktop and phone checks; release and Dev checks are still pending. Use Metric Dashboard Assignments if your host account has metric administration access.

Choose a folder under Client Metric Assignments. Add its metric key or edit its saved assignment. Move assignment chooses another allowed folder. Review the named key and folders before saving. Removing an assignment keeps its imported data.

Manage imported rows shows included and excluded rows, 20 at a time. Filter by Run Date if needed. Select rows, then choose Hide selected rows or Restore selected rows and confirm. This affects all organizations that use that key. Hidden rows stay stored. Selection covers only the current page, not a whole import batch.

If a write fails, reload saved data before trying again. Other staff can change row visibility at the same time; the last accepted change sets the current state.
