Onboarding Tasks
Availability: these screens are built and tested locally. They are not yet released to Dev.
Open Onboarding Tasks in your organization to see its tasks. Select a task to read its description, files and conversation. Dates show UTC. Use the page buttons for more records. If a page fails, choose Try again or Previous page. Going back to a working page keeps your unsent message and selected file.
Task details show Author: the name of the person who created the task. Author unavailable means a name cannot be shown. Editing or moving a task does not change its author.
Work on a task
- Staff with task creation access can choose Create task or Edit task. New tasks start as Draft and stay private from customer accounts.
- The description accepts text or simple HTML for paragraphs, bold or italic text, lists and links. The preview shows what others will see. Saved formatting stays in the editor. Remove unsafe tags or attributes before saving.
- Choose a Mark … action to change the state. The server supplies the allowed actions. Confirm the change before saving. Task status does not approve or send letters.
- Delete task removes access to the task. The system retains its records.
If a save fails, your text stays in the form. Copy it before closing the form to reload. A conflict means someone changed the saved record. If the result is unknown, reload saved records before trying again; the first action may have succeeded.
Conversation and files
Enter a subject and message, then choose Send message. Messages use plain text and cannot be edited or deleted. Changing the message page keeps your draft. Use Refresh messages to read new replies.
Editing a task's title or description keeps your unsent message and selected attachment.
Choose one file, then Upload attachment. Each file must be non-empty and no larger than 32 MiB. Download saves the original file. Delete removes it from the task after confirmation. Customers cannot change files once a task is Accepted or Approved; staff with task creation access can.
Move a task or file
These move controls are tested locally and await release to Dev.
- Staff can choose Move task, pick an organization, and confirm its name. The task keeps its conversation and saved files. Save unsent messages and uploads first. After moving, switch to the destination organization to open the task.
- Choose Move beside a file, pick its destination organization and task, then confirm the names. The file leaves the old task; its contents stay the same.
- Only tasks and organizations your account can read appear. Use the page buttons for more choices. Customers cannot move files from or into Accepted or Approved tasks.
If a move fails, use Reload move before trying again. It checks current access and saved records. If the source no longer appears, check the destination; the move may have succeeded before the reply was lost.
Private staff notes are separate from task conversations.
Notifications
Open Notifications, then choose Open task on a notice. This marks it read, switches to its organization and opens the task. The server checks your current access at each step. If access has changed, the task may be unavailable.
While Notifications is open and visible, it checks for new notices about every 30 seconds. Returning to the tab checks again. Use Refresh notifications to check now. These checks do not mark notices read. Browser alerts are not available yet. A saved message or status change does not confirm email delivery. Existing task email links still open the existing app.
Browser Back and Forward ask before leaving an unsaved message, selected file or task form. Choose Keep editing to keep the draft, or Leave without saving to continue. Portal links, organization switching, sign-out and closing a changed task form also ask before discarding text.
