Team & Roles
Availability: the new screens are built locally. Dev acceptance is pending.
Open Team & Roles (or Team for staff). You need user-management access for users, or role-management access for roles. This list covers your permitted account scope, even when no file workspace is available. Switching folders does not narrow the list.
Search by name, username or email, filter Status, then choose View user. The details show current roles, folder access, email confirmation and active state.
Add or edit a user
Choose Add user, or Edit user from the details. Enter first and last name, username and email. Choose existing roles and at least one folder for a new user. Access to a parent folder includes its children.
You can only grant roles and folders within your access. Without file-read access, folder choices come from your own memberships and the user's visible assignments. Hidden assignments stay unchanged when you edit a user.
A new user's password is optional. If left blank, the recipient must set it through email confirmation. Use Confirm email on the login page; see Accounts and access. Email-confirmation policy can also prevent a user with a supplied password from signing in. Creating an account queues a notice; it does not prove delivery. Dev captures mail instead of sending it to customers.
Choose Save. An edit ends the user's current portal sessions. If you edit your own account, sign in again. You cannot disable yourself or change your own roles.
Active state and failed saves
From View user, choose Mark inactive or Mark active and confirm. Inactive users cannot sign in. A manager may be able to edit someone's name but lack access to change their login or active state.
If a record changed, cancel the edit and reload it before trying again. After a lost reply, do not repeat the write. Cancel, refresh the list and check the saved account first. Failed edits keep your draft until you leave.
Confirmation and administrator reset
For an active user whose email is not confirmed, choose Resend confirmation. A successful request queues a notice if still needed; it does not prove delivery. After a lost reply, check mail or ask an operator before resending.
Administrators can choose Reset password from user details. Enter your own administrator password, the new password and its confirmation. This ends the user's portal sessions but does not confirm their email. Resetting your own password signs you out. Passwords clear after each send attempt. After a conflict, close the form and reload the user. After an unknown result, try the new password before making another change.
Delete a user
Availability: deletion is built locally; release-image and Dev checks are pending.
Open View user, choose Delete user, and check the saved name and username in the confirmation. Deletion ends that user's portal access. Their existing work stays in the system. This is account removal, not removal from just the selected folder. Use Mark inactive when you only want to disable sign-in.
You cannot delete yourself. The server checks whether you may remove all of the user's access; being able to view or edit their name does not guarantee deletion rights. After success, the list returns to its first page with your filters kept.
If deletion fails, choose Reload user and check the saved account before trying again. After a lost reply, the user may already be deleted; do not repeat the request without checking. Delete is unavailable while editing, so save or discard your draft first.
Tenant tools have a separate Tenants page. MFA is not a control on this page.
Manage roles
Choose Roles to search by name or filter by permission. Use Create new role, or View role to open a saved role. Enter its name, display name and description, review Default, then choose permissions and Save. You can grant only access you hold. Changes affect every user assigned to that role.
Static roles and Admin cannot be renamed or deleted. Only an administrator can edit Admin. Some roles appear read-only because they hold access outside yours.
Delete role asks you to confirm the saved name. Deleting it removes that role from assigned users. It does not delete the users.
If a save fails or its reply is lost, keep your draft for reference. Choose Reload saved roles, confirm the discard, and check the saved record before trying again. After a role change, the page refreshes your access. You may lose a control if you removed your own permission.
